Your Guide to Creating Quality Listings

General Rule of Thumb: The more details you provide upfront, the smoother the rental process will be for both you and the renter!

A complete listing is also more likely to be approved by our team and added to the site quickly.


1. Details - Listing Title

Choose a clear, searchable name for your item.

A strong name helps renters find your listing easily. Try to include the type of item, style, color, material, or era when relevant.

For example:

  • Vintage Brass Floor Lamp

  • White Bouclé Accent Chair

  • Mid-Century Wood Coffee Table

  • Large Red Persian-Style Rug

  • Set of 4 Clear Acrylic Dining Chairs

Avoid overly vague names unless there is no better description.


2. Details - Category

Choose the category that best describes your listing.

This helps renters find your item when browsing or searching on Setcircle.

Props

Select Props if your item is primarily intended for set dressing, production design, photography, film, TV, theater, or creative shoots. This could include furniture, decor, artwork, lighting, tabletop items, signage, textiles, and other objects used to build out a scene or visual environment.

Events

Select Events if your item is especially useful for parties, installations, brand activations, pop-ups, weddings or live events, etc. This could include decorative pieces, lounge furniture, display items, signage, vessels, backdrops, and event styling pieces.

Props & Events

Select Props & Events if your listing could work well for both productions and events.

Many items fall into this category. For example, a beautiful sofa could be used in a living room set, a photoshoot, a wedding lounge, or a brand activation.

When in doubt, choose the category that best represents how you imagine the item being rented.


3. Details - Size

Select the size category that best describes your item.

This helps renters understand how large the item is, how it may need to be transported, and whether it will work for their space.

Small Props

Choose Small Props for items that can typically be carried by one person and transported in a standard car.

Examples:

  • Books

  • Vases

  • Lamps

  • Tabletop decor

  • Small artwork

  • Pillows

  • Bowls

  • Picture frames

  • Small signs

Mid-Size

Choose Mid-Size for items that are larger than tabletop props, but still relatively manageable. These items may require a larger car, SUV, or two people depending on weight and fragility.

Examples:

  • Dining chairs

  • Side tables

  • Small rugs

  • Floor lamps

  • Medium artwork

  • Accent stools

  • Small shelving units

  • Plant stands

Large Props

Choose Large Props for oversized, heavy, or bulky items that may require a van, truck, dolly, or multiple people to move safely.

Examples:

  • Sofas

  • Armchairs

  • Coffee tables

  • Dining tables

  • Large rugs

  • Bookshelves

  • Large mirrors

  • Room dividers

  • Backdrops

  • Oversized decor pieces

For larger items, it’s helpful to include pickup notes so renters know what kind of vehicle or help they may need.


4. Details - Dimensions

Please provide the dimensions of your item as accurately as possible.

Use a standard format such as:

L” x W” x H”

For example:

48” L x 24” W x 18” H

For items where dimensions are less straightforward, just try to include the most helpful measurements. Accurate dimensions help renters know whether the item will work for their set, event, vehicle, or installation space.


5. Details - Short Description

Write a brief description of the item and include anything a renter should know before booking. This does not need to be long, but it should give renters a clear sense of the item’s look, condition, and any important details.

You may want to include:

  • Style, era, or aesthetic

  • Color and material

  • Condition notes - any visible wear, aging, or imperfections

    • Please be honest about the condition of your item.

      Props and decor do not need to be perfect. In fact, many renters are specifically looking for items with character, age, patina, or wear.

      However, any notable flaws should be disclosed in the listing.

      Examples:

      • Small scratches on surface

      • Minor chips on edges

      • Fabric has light staining

      • Vintage wear consistent with age

      • One leg is slightly uneven

      • Decorative only, not intended for functional use

      Clear condition notes help protect both owners and renters.

  • Whether the item is heavy, fragile, oversized, or requires special handling

  • Whether the item comes as a set or individual piece

    • If you are listing multiple items together, make sure the renter understands exactly what is included.

      • Total number of items

      • Individual item descriptions, if needed

      • Dimensions for key pieces

      • Photos of the full bundle and individual pieces

        • Example: “Bundle includes 2 matching armchairs, 1 side table, and 1 brass floor lamp. Items are rented together as a full living room set.”

Example of a great description:

“Vintage wood side table with carved detail and a warm medium-brown finish. Shows some natural wear and small scratches, which add to the character. Lightweight and easy to transport.”


6. Details - Replacement Value

The replacement value is the estimated dollar value of your item if it were lost, stolen, or damaged beyond repair.

This is not the rental price. It is the approximate cost to replace the item.

If you are unsure, try looking up similar items online to see what they typically sell for. Search by material, style, brand, size, and condition when possible.

Please enter the closest realistic estimate you can.


7. Photos

Photos are one of the most important parts of your listing.

Please upload clear photos that show the item accurately. Natural light is best when possible.

We recommend including:

  • A front-facing photo

  • Side angles

  • Close-ups of texture, material, or special details

  • A photo showing scale

  • Any visible damage, wear, or imperfections

Try to avoid overly dark, blurry, or heavily filtered photos.

The goal is for renters to understand what they are booking as clearly as possible.

For bundles or sets, make sure the photos show everything included.


8. Location

Please enter the most accurate pickup location for the listing.

The location helps renters understand the general area where an item is available for pickup and return. Setcircle uses Mapbox to show a general location in the search tab. This helps renters understand approximately where an item is located, while still helping protect your privacy and personal details.

To further protect your information, your exact pickup address is also hidden from users until you press “Reveal Listing Location to Customer” in a booking thread. More information is available in our Owner Rental Guide.


9. Availability

Set your availability so renters know when your listing can be booked, picked up, and returned.

Start by setting a default weekly schedule. This should reflect the days and times you are generally available for renters to coordinate pickup and return.

Choose the days and times that usually work for you.

Specific Date Adjustments

After setting your default schedule, you can adjust availability for specific dates.

For example, use this to block off dates when:

  • You are out of town

  • The item is being cleaned, repaired, or used for another project

Keeping your availability updated helps avoid booking conflicts and makes the rental process smoother.

Renters may request items as early as the next day, depending on your availability and whether you accept the booking.


10. Weekly Rental Price

Setcircle rentals are priced on a weekly basis.

Enter the amount you would like to charge for one weekly rental period. A weekly rental period includes up to 7 rental days, plus one grace day for return.

For example, if a renter picks up an item on Thursday, the item is due back the following Friday. If the item is not returned by the end of the grace day, a late fee may apply.

That’s totally okay.

If you are unsure what weekly rental price to enter, you can start with your best estimate. You can also enter a placeholder amount of $5.00 and we will work with you to best price your item.

As a general rule, your rental price should consider:

  • The item’s replacement value

  • How rare or unique the item is

  • Condition

  • Demand

  • Comparable rental rates for similar props, furniture, or decor

Setcircle may help guide pricing based on industry standards and comparable listings.


11. Before You Publish

Before submitting your listing, take one final look and confirm:

  • Item name is clear and searchable

  • Dimensions are accurate

  • Photos are clear

  • Description includes important details

  • Replacement value is realistic

  • Weekly rental price is entered

  • Pickup/return notes are included

  • Any damage or wear is disclosed

A complete listing is more likely to be approved quickly and rented successfully.

Short Description:
Vintage brass floor lamp with a warm aged finish and simple white shade. Great for living room, office, or bedroom set dressing. Shows minor wear consistent with age.
Small scratches on base. Fully functional. Lightweight and easy to carry. Shade should be handled carefully during transport.
